Start with the process duty

State the fluid, composition, phase, corrosiveness, solids and operating duty. Include normal, minimum and maximum flow where it affects selection. A valve should be reviewed for the actual service rather than chosen from the family name alone. For example, identify a soft-seated floating ball valve, cast steel wedge gate valve or forged steel globe valve by series, and attach the requested datasheet. These are starting points for an enquiry, not approvals for the service.

Provide both operating and design pressure and temperature, including credible start-up, shutdown, cleaning, cycling and emergency conditions. Identify whether the valve is for isolation, throttling, non-return service, diversion or another defined function.

Define size, rating and end connections

Give the nominal pipe size, pipe schedule or internal diameter, pressure class and end connection. State any required face-to-face dimension, flange facing, bore requirement, branch orientation and space limit that affects installation.

If the line must pass a pig, specify the pig type and minimum clear passage instead of writing full bore only. Include the piping class or line list reference so the offered valve can be checked against the surrounding system.

Specify the required PN or ASME Class together with the governing standard and design conditions. Use the PN vs ASME Class valve pressure-rating guide to review substitution and the exact size-rating combination before comparing offers.

Name the governing standards and editions

List the design, material, dimensional, testing and fire-test standards required by the project. State the required edition when the contract controls it. API Specification 6D and ASME B16.34 answer different parts of a valve specification and do not replace the project datasheet.

Separate mandatory requirements from preferred options. If the supplier proposes another standard, require the technical offer to identify the deviation and explain how dimensions, rating, tests and documentation will remain compatible.

Specify materials, trim and sealing

Identify the required body and bonnet material, trim, closure member, stem, seats, gaskets, packing and bolting where the project has defined them. Share the fluid analysis and corrosion requirements rather than asking for stainless steel or special alloy without context.

State the required shutoff direction, seat construction, cavity-relief arrangement and any fugitive-emission, sour-service, cryogenic or high-temperature requirement. Material and seal suitability should be confirmed for the complete valve, not inferred from the body grade.

Describe operation and actuation

Tell the supplier whether the valve is manual, gear-operated, pneumatic, electric or hydraulic. For automated valves, include available power, control signal, fail position, operating time, enclosure or hazardous-area requirement and any accessories expected in the package.

Provide the maximum differential pressure for operation and the expected operating frequency. These inputs affect torque review and actuator selection; nominal line pressure alone may not describe the most demanding operating case.

For a three-way plug valve or multi-way plug valve enquiry, attach a labelled port diagram showing the required flow paths at each position and any switching or isolation restrictions. For a lift plug valve, request the offered operating sequence and model-specific actuation data. Leave unsupported arrangements and torque values pending rather than inferring them from the construction name.

Set inspection, testing and document requirements

List the required inspection and test plan, pressure tests, material certificates, positive material identification, nondestructive examination, coating records, dimensional checks and third-party witness points. Match the scope to the project risk rather than requesting every possible test by default.

Define the document index before production: approved drawings, datasheets, procedures, certificates, test reports, spare-parts lists and IOM manuals. State the required language, file format, number of review cycles and whether final records must be linked to serial or heat numbers.

Add quantity, schedule and commercial boundaries

Provide quantity by line item, required delivery date, destination, packing needs and Incoterm if known. Separate mandatory spares, commissioning spares and optional items so quotations can be compared on the same basis.

State whether the request is for budgeting, technical evaluation or purchase. If some data remains open, mark it as pending and name the responsible party. A transparent assumption is easier to close than a hidden difference discovered after order placement.

Compare offers with a deviation table

Ask each supplier to return the same datasheet and a clear list of deviations. Compare valve type, bore, materials, rating, dimensions, seats, actuator, tests, documents, exclusions, delivery and price line by line before selecting the lowest commercial figure.

Resolve technical deviations before issuing the purchase order and attach the approved datasheet and drawings to the order. KEHUA VALVE can begin a project review when the medium, size, pressure, temperature, material, quantity and applicable standards are supplied.
